Set up your brand profile

Tell Penny who you are, once, and every draft improves.

The brand profile on Profile is the single highest-value thing you can fill in if you plan to use Penny. Without it she knows one fact about you — your account name — which is exactly why unconfigured AI output reads like anybody’s.

What to fill in

  • What you do — a couple of sentences. The single most useful field.
  • Who you sell to — “independent cafés” produces very different copy from “enterprise IT buyers”.
  • Voice — pick the chips that fit, and add a note for anything they miss. “We say members, never users” belongs here.
  • Products — real names, so drafts mention real things rather than “our product”.
  • Words to avoid — anything you never want in your email.
  • Website — used when a draft needs a link.
  • Postal address — see below.

Partial is fine. Only the fields you fill are used, so three good sentences beat seven padded ones.

Words to avoid are enforced exactly

The list isn’t a hint to the model — it’s checked literally in the pre-send review, so a banned word is caught whether Penny wrote it or you did.

Useful for house style (“never say utilise”) and for words that trip spam filters.

The postal address

Bulk email must carry a physical address by law. Put yours here and it fills in on new campaigns automatically, so the pre-send warning stops firing for good.

It is never sent to the AI

The address is added to the footer mechanically at send time and deliberately kept out of every prompt — otherwise a model might helpfully work it into the body copy.

Common issues

Drafts still feel generic

Usually the description is too abstract. “We help businesses grow” tells a model nothing; “we roast coffee in Leeds and sell subscriptions to offices” produces different copy immediately.

Penny wrote about the wrong business

The profile is out of date. It’s context, not a filter — an off-profile email is still allowed, and a stale profile is the more common problem.

The pre-send review keeps flagging a word I want

Remove it from the avoid list — the check is literal.

FAQs

Is my brand profile shared with anyone?+

It goes to the AI as context for your own drafts and nowhere else. It describes your business, which is exactly the sort of thing that should reach a model — unlike your contacts, which never do.

Can Penny write the profile for me?+

Not yet. It’s an obvious improvement — a seven-field empty form is a chore, and proposing a filled-in draft to confirm would probably be the difference between this getting used and sitting empty.

Does it restrict what Penny will write about?+

No, deliberately. A coffee roaster sponsoring a charity event still gets a good draft — the profile is grounding, not a gate.
